Communication

What does the travel guide include?

The roadbook contains everything you need for a successful trip.

For starters, it includes the complete route. You’ll visit the best-known places, but we’ll also take you to lesser-known spots that haven’t yet made it into most guidebooks. We’ll suggest places to stop, but of course, you’re free to decide whether to visit them and whether to add extra stops to the ones we recommend.

The roadbook also includes a selection of unique places where you can enjoy a drink or a meal in the evening.

Is there support available on site?

During your trip, you’ll find all the information you need in our app. Just before you leave, you’ll also get access to an in-app chat with everyone travelling on the same date. You can use it to stay in touch with the group. If you run into any problems, our local car partner and a member of our team are there to help.

What exactly does the roadbook contain?

Our roadbook contains all the information you need to ensure a successful road trip.

You will find the complete itinerary in it, including all the hotspots and hidden gems that aren't featured in major travel guides. The recommended places have been carefully selected to offer plenty of choice, but you are free to plan your days as you wish.

What's more, our roadbook contains lots of great places where you can grab something to eat or drink.

  • A valid identity card or international passport, valid for up to 6 months after your return.
  • A national, European or international driving licence.

A few weeks before departure, you will receive a detailed packing list, carefully compiled by our experienced team. The packing list includes everything you need for your adventure, from clothing to equipment and useful extras.

Transport

My ID card or passport is about to expire. Can I still travel?

You will find the required travel documents in the general trip preparation information.

Before your flight, check that your ID card or passport is valid and that your personal details match those on your flight booking.

Entry requirements can change and depend on your nationality, so we recommend checking the latest official requirements: before you leave:

Can I cancel my flight and get a refund if I decide not to travel?

Flights booked through Travelbase are generally non-refundable. This means that if you decide not to travel, your flight will normally not be refunded.

Can’t travel after all? Contact us as soon as possible via the contact page. You can’t cancel your flight or remove it from your booking yourself. We’ll check the applicable conditions and let you know what options are available.

My name appears without accents or spaces on the flight ticket. What should I do?

It’s normal for the names on flight tickets to appear without accents or spaces. Most airlines’ booking systems don’t recognize special characters or spaces, so names often appear as one continuous string of letters.

As long as your name is spelled correctly and matches the name on your passport, the absence of accents or spaces won’t cause any problems, and your ticket remains valid.

When do I need to be at the airport?

We recommend arriving at the airport 3 hours before a European flight and 4 hours before an intercontinental flight.

These are general recommendations. Before you leave, always check the latest information from the airline and airport, as the recommended arrival time may vary. Also allow plenty of time to get to the airport and account for crowds or possible queues.

Please note: it is your responsibility to arrive at the airport on time. If you miss your flight because you were late, the airline is not required to offer you a refund or an alternative flight.

Where can I find my booking code?

Your booking code (also known as your booking reference or PNR) may be required to check in online or manage your booking with the airline.

You’ll find this code on your flight ticket, which you’ll receive by email no later than 15 days before departure.

Your flight ticket is also available in MyTravelbase.

Where can I find the flight schedules?

Your flight information is available on our website, in the booking form when making your reservation, and after booking via MyTravelbase.

Can I choose a seat so I can sit next to my travel companion?

Whenever possible, we try to seat travelers next to each other, but we can’t guarantee it. The airline may change the seat allocation for operational reasons.

Would you like to choose a specific seat yourself? Once you’ve received your flight tickets, you can usually check the available seats on the airline’s website. Selecting a seat may incur an additional fee.

Can I change my flight dates?

No, Travelbase does not allow changes to the flights included in the package. The flights we offer are aligned with the official start and end dates of the trip, so your arrival and departure dates match the itinerary.

Would you like to arrive earlier, extend your stay or travel on different dates? In that case, you can arrange your flights or transportation separately.

When will I receive my flight ticket, and what should I do if I haven’t received anything yet?

You will receive your flight ticket, including your booking code (PNR) and ticket number, by email no later than 30 days before departure. Your flight ticket is also available in MyTravelbase.

Did you book your flight less than 30 days before departure? Please allow up to 2 days for your tickets to be processed and sent to you.

Your ticket isn't available in MyTravelbase within this timeframe, or haven't you received it by email? Contact us in that case.

My luggage is lost or delayed. What should I do?

Unfortunately, this can occasionally happen while travelling. Below are the steps we recommend taking.

Step 1: Report your lost baggage
You can report your lost baggage online through the airline's website or directly at the airport, at the lost and found desk or baggage counter. If possible, do this at the airport. The staff may be able to provide information about the status or location of your baggage.

Step 2: File a baggage claim (Property Irregularity Report)
The airline will ask you to complete a PIR form, the official document for delayed, lost or damaged baggage. Have the following information ready:
Your booking number or booking reference (PNR) and/or ticket number (shown on your e-ticket)
The passengers' names
A copy of the baggage tag
A detailed description of your baggage (colour, size, material and distinguishing features)

Step 3: Choose a delivery address
Tell the airline where your baggage should be delivered once it has been found, for example, your hotel, your next accommodation or your home address. Update the address if your plans change. The airline will cover the delivery costs.

Step 4: Request compensation
Most airlines reimburse necessary purchases made while waiting for your baggage. Keep all receipts or take photos of them, then check with the airline which expenses are eligible for reimbursement.

Step 5: Track your baggage
After submitting your report, you will receive a reference number. You can track your baggage through WorldTracer, an international tracking system used at nearly 2,000 airports by more than 360 airlines.

Keep in mind: Travelbase has no influence over the location or return of lost baggage.

My flight has been canceled. What should I do?

If your flight is cancelled, first check the options offered by the airline. You can then contact us if you need help.

Under passenger rights regulations (EU 261), the airline must offer you two options:

You can choose between a replacement flight (option 1) or a refund for your ticket (option 2).

Option 1: a replacement flight (= rerouting), which you can accept or decline if it works for you.

Before accepting a replacement flight, you can check its new arrival time with us to make sure it fits with the local arrangements for your trip, such as shuttle transfers. We’ll do our best to adapt if necessary, but this can’t always be guaranteed.

Option 2: a refund for your ticket if you decline the replacement flight or if the airline does not offer one.

Flights booked independently

If you choose a refund for your ticket but still want to go on your trip, you’ll need to book new flights. Check whether you need to book a new return flight or a one-way flight.

If you booked your flights separately from our trip, the trip itself will not be refunded.

Flights booked through Travelbase

If you booked your flights through Travelbase, the airline will either offer a suitable alternative or we’ll arrange one for you. Booking your flights through Travelbase gives you extra protection under package travel regulations. No cash refund will be offered for the flight, as we’ll provide an alternative at no extra cost.

For help or advice, you can contact us.

I can no longer take part in the trip. Can someone else use my flight ticket?

Flight tickets are issued in the passenger’s name and generally can’t be transferred to someone else. Name changes or corrections depend on the airline and the ticket’s terms and conditions.

If someone else needs to travel in your place, contact us as soon as possible. We’ll check what options are available.

I was denied boarding. What should I do?

If you’re denied boarding, first ask the airline to offer you another flight, but don’t immediately confirm or accept the alternative.

If we booked your flights, contact us with the airline’s proposal before accepting it. We’ll check that the new flight fits your itinerary. If the proposed alternative doesn’t work for your trip, we’ll help you find a suitable solution.

If you booked your flights yourself, ask the airline directly for another flight that allows you to continue your trip as planned. If the new flight affects any services we’ve booked for you, let us know so we can check what can be adjusted on our end.
